PTA Communication Channels
Emails
- Weekly eNews: The PTA weekly eNews is sent via email to subscribers every Wednesday morning. Users can subscribe to the eNews at any time. If you're planning an event or have something you'd like to include in the weekly eNews, please send it to the VP of Communications by Sunday (for it to appear in Wednesday's email). If you need assistance developing graphics/flyers to include, please let the VP of Communications know.
- One-Off Emails: Periodically, we may have an urgent need for a single topic email. Any needs for this type of email should be communicated to the VP of Communications as soon as possible.
- Room Parent Emails: Room parents will periodically send emails sharing school-wide, PTA, and classroom information.
Thursday Folder Flyers
The Hunters Woods PTA often sends event flyers home in student's weekly Thursday folders. If your committee is organizing an event, consider whether you'd like to send a flyer home this way. If so, please send the draft flyer to the VP of Communications no later than the Friday before you'd like it to go home. This will allow time for approval from the school administrators and for volunteers to make copies for all classrooms.
Please note: Flyers must include the following language, "These materials are neither sponsored nor endorsed by the Fairfax County School Board, the Superintendent, or this school".
PTA Financial Resources
Check Request: Use this form to request reimbursement for expenses you incurred for a pre-approved PTA event or to request an advance. This form can also be used to pay a vendor.
Deposit Form: Submit this form when submitting cash or checks for deposit to the PTA bank account after an event or when money is collected.
This form should also be used to indicate the starting cash for events.
Teacher/Staff Mini-Grant Application: Teachers/staff can use this application to apply for a PTA grant to support their curriculum and classroom.
